SalesCore Data Retention & Deletion Policy

Effective date since: 01-01-2025

This Data Retention & Deletion Policy describes how SalesCore Global Solutions Pte. Ltd. (“SalesCore”) manages customer data during the subscription term and after termination or expiry of services.

Scope

This policy applies to all customers using SalesCore products and services, including web and mobile applications, APIs, analytics, and related services (“Services”).
“Customer Data” means data submitted, uploaded, or generated by or on behalf of a customer through the Services.

Data availability during the subscription term During an active subscription:

  • Customer Data remains accessible to authorized users in accordance with the customer’s subscription and access rights.
  • SalesCore applies standard security, access control, and backup practices consistent with a multi-tenant SaaS platform.

Data access and export after termination or expiry

Upon termination or expiry of a customer’s subscription, and unless otherwise agreed in writing:

  • SalesCore will provide the customer with a thirty (30) day period to export Customer Data using standard system export capabilities or via a reasonable one-time export request where available.
  • After this export period, SalesCore may disable customer access and will have no further obligation to maintain or provide Customer Data, except as required by applicable law.

Deletion of Customer Data (production systems)

Unless otherwise required by law or agreed in writing:

  • SalesCore will delete Customer Data from active production systems within thirty (30) days after the post-termination export period ends.
  • Deletion includes removal from primary databases and active application environments.

Backups and disaster recovery copies

  • Customer Data may remain in encrypted backups and disaster recovery systems for a limited period until such backups are automatically overwritten or rotated in accordance with SalesCore’s backup retention schedule.
  • Backup copies are not used to restore customer access after termination.
  • Complete deletion from backups may take up to ninety (90) days from termination, or until the next backup rotation cycle, whichever occurs first.

Logs, metadata, and system records

  • SalesCore may retain system logs, audit logs, and technical metadata (such as access logs and error logs) for security, operational, and compliance purposes.
  • Such data does not contain customer business content and is retained only for limited periods consistent with standard security practices.

Legal and regulatory retention

SalesCore may retain Customer Data where required to do so by:

  • applicable laws or regulations,
  • court orders or lawful government requests,
  • compliance or audit obligations.

In such cases:

  • only the minimum data required is retained,
  • access is restricted,
  • retained data is deleted once the legal retention obligation ends.

Aggregated and anonymized data

SalesCore may retain and use:

  • aggregated and anonymized data,
  • statistical or analytical information derived from Customer Data,
provided that such data does not identify the customer, its users, or individual records.

Subprocessors

SalesCore requires its subprocessors (such as cloud infrastructure, hosting, logging, or email service providers) to adhere to data retention and deletion obligations consistent with this policy.

Confirmation of deletion

Upon written request, SalesCore will provide written confirmation that Customer Data has been deleted in accordance with this policy, subject to backup rotation and legal retention requirements.

Policy updates

SalesCore may update this policy from time to time to reflect changes in legal requirements, technology, or operational practices. The latest version will always be available on the SalesCore website.
